We at Art Center East (ACE) respect and appreciate our Wellness Partners. We will do everything we can to make ACE a welcome and functional venue for you and the students.

Wellness Partners must complete this form by the deadline indicated for quarter below to be considered for Art Center East's Programming. Please select which quarter you'd like to teach.

    Wellness Partner Slot Preferences.
    During the CONTRACT PERIOD, classes may be offered before or after ACE business hours (weekdays 10 AM – 4 PM and on Saturday 12 – 4 PM).

    Lunch-hour classes can be arranged, but clients must be informed that business noises will continue and that professional behavior is expected.


    Please upload one to three photos that are a good representation of the class, including 1) an action photo of people doing what you will be teaching or 2) a photo of what you will make. Upload the highest-quality files you have (.jpg or .png only) below. We require at least 1000px per side. The better the photo, the easier it is for us to promote your class. We will use your images on our website, Facebook page, Instagram page (@artcentereast), and in our newsletter. Original photos only, please, or provide proof of permission for use.

    2-4 weeks before the start date of your class, we will post an event for it on the ACE Facebook page. We encourage you to share that event on your own personal and/or business pages. If you need an event created by a specific date or have any questions about sharing the event, please contact Sarah (sarah(@)artcentereast.org).

    We do our best to promote your classes, and you can help us do more! ​Word of mouth, personal invitations, and flyers are the most successful marketing tools according to our participant surveys. We do not have the capacity to create and distribute flyers for every class, but we can offer coaching for creating your own flyers, and class flyers/posters with the ACE logo on them are eligible for a 10% discount at Copy Club. Please keep in mind that the required minimum enrollment of 3 students may not always be achieved. If you are really excited to teach your class, let people know and help us get the word out!

    Agreement, Terms, and Conditions

    If your proposal is accepted, you will be required to sign a contract agreeing to specific terms & conditions for Wellness Partners as follows:
    -Teaching Artists are not ACE employees but independent contractors.
    -ACE does not provide instructors with workers compensation or any other benefits. Primary Insurance coverage for Wellness Partners in the amount not less than $1,000,000 general liability, with ACE named as additional insured.
    -As a Teaching Artist, you will be representing ACE and expected to use the highest level of professionalism while on the premises.

    Specific Teaching Requirements for Youth:

    All Teaching Artists planning to teach children 13 years old and younger must complete an Oregon Criminal History Information form at least two weeks before their class if their proposal is accepted. The Oregon Criminal History Information forms are available at https://www.oregon.gov/osp/ID/docs/crim_history.pdf.

    Processing fees will be paid by ACE on behalf of the Teaching Artist. Student safety is important. Therefore, Teaching Artists are required to use the ACE form provided for youth student sign-in and youth student pick-up information.

    Compensation Details:

    Wellness, music, dance, and other partnership entities receive an agreed upon percentage of student fees. Alternative compensation agreements may be considered if presented in writing to the ACE Executive Director.

    Teaching Artists and partnership entities must provide ACE with a completed IRS Form W9 to receive payment. The form is to be turned before the end of the month in which the class took place. The W-9 form may be found at https://www.irs.gov/pub/irs-pdf/fw9.pdf. Teaching Artists and partnerships may expect payment to be postmarked by the 5th day of the month following the class.

    ACE will price classes according to hours and supply fees. Supplies will be purchased for your course by ACE. All leftover supplies will remain the property of ACE unless otherwise agreed. Special workshop prices may be considered if presented in writing to the ACE Executive Director.

    Cancellation & Rescheduling:

    Given the expenses and time involved in making classes available to our communities, Teaching Artists who fail to be present or cancel a class at any time are subject to a $75.00 administrative fee. (Serious medical or family emergencies are exempt from the fee.) Rescheduling class to avoid the cancellation fee will be considered on a case by case basis. If the required minimum number of students per class (3 students) is not met 48 hours before class; ACE may cancel the class due to low enrollment, and the Teaching Artist will not be assessed the cancellation fee. It is the responsibility of the Teaching Artist to contact ACE 48 hours in advance to confirm that the minimum student limit has been met.

    Next Step:

    Once you hit submit; applications will start the review process. Teaching Artists will be notified via email one week after submission if the application/s have been accepted or declined. There is no limit to the number of application you may submit.
